These sessions have focused on building a transparent governance structure for Koha’s future within the Open Library Foundation (OLF), aligning with both our values and the community’s democratically driven spirit. Below, we outline some key topics discussed, with the intention that the wider Koha community can stay informed and engaged in this process of moving towards joining the OLF. Commitment to Community-Driven Representation We understand the importance of having representatives on this Steering Group, and also on the eventual Governance Committee, that reflect the diverse perspectives of the Koha community. All of us are dedicated to ensuring that those who volunteer to represent Koha in the Foundation remain aligned with the community’s values and the open-source mission that guides our work together. Inclusive Governance Structure As part of our work with the OLF, we are establishing key roles — which include the legally necessary roles of Manager, Treasurer, and Secretary — required to help Koha operate within a solid framework. Our aim is to ensure that active, meaningful participation from the community remains central to governance decisions and membership guidelines. Financial Oversight and Independence Each entity within the OLF, such as Koha, is fully accountable for its own finances and activities as what is called a ‘Single Member Limited Liability Company’ (SMLLC). The OLF provides support, but each SMLLC operates independently. To help with banking and financial management, we are considering practical solutions, such as appointing a U.S.-based Treasurer to simplify banking processes. Improved Community Communication and Transparency We are drafting guidelines to ensure clear communication about who represents the community, how decisions are made, and when input from the community is necessary. Our goal is to make sure that every voice is heard and that our governance structure reflects the collective will of the community. Protecting Koha’s Charitable Mission We are dedicated to preserving Koha’s charitable status, aligning our activities and tax considerations with both legal standards and community values. Next Steps and Community Engagement We are pleased to be welcoming some additional members to the Steering Group who work in Libraries in different parts of the world. This is to address the current imbalance of the Steering Group in favour of Koha Support Companies. So I searched for the equivalent of 099$c (Koha biblio creation date => biblio.datecreated) and 099$d ( Koha biblio modification date => biblio.timestamp) in MARC21, but I was surprised to find no place in 942 or elsewere to store those pieces of information. Additionally, I have configured Cron for sending automatic reminders. This setup was functioning perfectly; however, since last week, reminders such as Advance Due, Item Due, and Overdue emails are not being sent. These notices are marked as pending in the Patron page of the Koha intranet. In contrast, emails like the ACCTDETAILS for creation of new patron and PASSWORD_RESET for Forgot password from OPAC are being sent successfully. The Koha intranet system logs indicate that the cron jobs (overdue_notices.pl, advance_notices.pl, and holds_reminder.pl) are running fine, but it appears that process_message_queue.pl is not executing. After correcting the MARC records, I re-uploaded the bibliographic data. The system accepted the updates, and the data appeared to be fine. However, I have encountered a problem when searching for any book via the staff interface. I see two entries for each book—one from the old incorrect data and one with the new corrected data. Clicking on the old entries results in an error message indicating that the item is not found. On the OPAC side, the search results appear to be correct with no duplicates. (koha-rebuild-zebra runs another job i nthe background, and if I remember correctly, running *that* job as sudo might mess with permissions.) As it is a new installation and its reference comes from the sql backup I moved from 19.11. to 24.05, there are no plugin files on the new system but its info in the database. I guess I'll need to manually remove records from table(s). Which tables should I look into?
