Items for bulk ebook MARC records
Hello This is my first question to the list since introducing myself a few months ago, so please forgive me if I’m asking a silly question, but I haven’t yet been able to find an answer out there. I’m currently trying to set Koha up as a catalogue and access gateway to our eresources collection, as our current (proprietary) library system is a nightmare to import anything into. As a first attempt I have successfully imported nearly 3000 MARC21 bib records from one of our ebook suppliers into a test install of Koha (3.00.00.107, hope to upgrade soon!). However, when I search for any of the titles in the OPAC, I get the ‘Availability’ message ‘No items available’ in the brief results, and in the detail holdings tab I get ‘No physical items for this record’. The MARC records as supplied don’t have any item data, either in the Koha 952 item tag, or even item data I could map across in the 852, and I’m yet to hear from the supplier that they can supply item data. These messages will be off-putting for most of our readers, many of whom are new to using libraries, and the vast majority probably won’t ask for help, so I need to find a way to sort this out. How could I tackle this apart from a huge effort in reader education, modifying my copy of Koha, or individually creating thousands of items? I have a couple of ideas but don’t want to reinvent the wheel so would truly appreciate your help. Thanks! Jos
Jos, If these are all ebooks, do they have 856 fields? If so, perhaps you could modify the "Summary" in the item type. I've never tried this, but there's a note that says "Enter a summary that will overwrite the default one in search results lists. Example, for a website itemtype : *<a href="[856u]">open site</a>* will show the link just below the title." That sounds to me like what you want. I think. Maybe. At least, maybe it's worth a try. Hi Jared This looks like a great idea, thanks, my records do have an 856, and you've reminded me that I've read about this somewhere in 3.0. I'm not sure this mod would stop the annoying messages, as I'm guessing (correct me if I'm wrong) these are linked to the 952 only, so the messages will still appear in the brief results. That said, I am definitely going to use your suggestion once we upgrade, so I can move the link for our eresources to underneath the title, as they're a bit buried in the other bib info currently. We also use Koha for our e-materials. We found the easiest way to correct this problem, at least for us, was to edit the MARC recods with MarcEdit adding the 952 fields before staging and importing. In this way we can very quickly add the required fields to all the records in the batch. Hi Susan Thanks for your idea. It's one of the possibilities I thought might be available to me, but as previously mentioned I'm fairly new to Koha and very new to MARCEdit, so I'm not yet convinced I know what I'm doing here. Hello Jos, Have you heard of or used MarcEdit<http://people.oregonstate.edu/%7Ereeset/marcedit/html/index.php>. I think this tool will solve your problem. With it you will have to edit your MARC file and automatically add the item data, i.e. field and subfields 952 $a, $b, $c etc thanks Anselm 2010/6/7 Jos Black <jos.kohado@gmail.com>

Dear Jos We faced this problem too and we fixed it.. You have to create one 952 filed for every single item in the same record... and make sure that at least these sub-field are filled, If the vendor has no the info.. just write the most convenient for you.. =952 $a SEDE $b SUBSEDE $o SIGNATURA $p INVENTARIO $y TIPOITEM If you face any problem we can provide you wish a sample mrc file that it works.... you will just need to compare with yours and enjoy the system BR Dear all We have faced the same problem..... the issue is that we have imported propertly 2010/6/7 Jos Black <jos.kohado@gmail.com>

Hi again Apologies for not being able to reply to you sooner, I've only just been released back onto my Koha project. I just wanted to thank you for sharing such valuable information. As a newcomer to Koha, and also going it pretty much alone, the community has already done such a huge amount to allay my fears of finding no support, what a fantastic experience Koha is turning out to be!
